Step 1: Start a Referral
To begin sending a referral, click on the "Share" button and select "Share with Practitioner." You’ll be presented with the new referral model, where you can choose between internal and external recipients.
Step 2: Choose the Type of Referral
You can send referrals within your multi-specialty group using the Internal Referrals option. All the features available for internal referrals also apply to external referrals if you have the Premium Referrals module.
- Select the Practice and Provider: Choose the practice you are referring the patient to. For instance, select "SOTA Dental 2" and then choose the provider at this location.
- Check Patient Information: The patient information should be automatically populated at the bottom, thanks to SOTA Cloud’s practice management integrations that provide automatic transfer of patient contact details.
Step 3: Specify the Referral Details
Click "Continue" to proceed with the referral details.
- Indicate the Type of Referral: Choose the specialty for the referral. For this example, select "Oral Surgery" and specify the type of surgery, such as an "Extraction" for teeth one and two.
- Attach Images and Files: Select the necessary images and files to attach to the referral. With the Premium Referrals module, you can attach any files alongside the referral. If you have both the Patient Files and Premium Referral modules, you can easily add any previously uploaded files, such as a CBCT scan or an intraoral scan.
Step 4: Generate the Referral Letter
The Premium Referrals module includes an AI-generated referral letter feature. The system uses the provided details to automatically create a referral letter that includes all the selected information, such as notes added to images earlier in the process.
Step 5: Send the Referral
After reviewing all the information, click "Send" to dispatch the referral. You have the option to print the referral information for the patient, but this step is optional.
Step 6: Monitor Referral Status
Navigate to your home screen and click "Referrals." Premium Referrals subscribers have access to a comprehensive dashboard to track both incoming and outgoing referrals and communicate with the other provider.
- Check Referral Status: To review a referral, click on "Outgoing" and then "Pending." This list shows all pending referrals that the receiver has not yet accepted. Once a referral is accepted, it will move to the "Active" section.
- Review Incoming Referrals: Similarly, you can review incoming referrals and manage them by clicking "View."
Step 7: Communicate with Other Providers
You can communicate directly with other providers via the Premium Referrals module. After opening a referral, you can review the case, manipulate images, and send messages. For example, send a thank-you message to the referring practitioner after accepting a case.
When you receive a reply, you and the practice email will get a notification, and a message box will appear in the navigation bar, indicating that you have a waiting message.
